How Form Subscriptions Work

Quik! uses a publish-subscribe model to help you manage forms. Customers can subscribe to specific forms and any time there is an update, they get the latest version of that form automatically. Additionally, customers can subscribe to entire libraries and receive any new forms added to the library.

Customers may want any of the following scenarios where customers can see:

  1. All forms for a company, both now and in the future (Auto Subscribe by company).

  2. Only specific forms for a company library (Individual Forms subscriptions).

  3. Only specific forms PLUS any newly added forms in the future for a company library (Auto Subscribe plus Individual Form subscriptions)

To subscribe your account to the companies and forms you want your users to see, follow these steps. There are a few ways to subscribe to forms:

  1. Auto-subscribe to all forms for a company - you’ll always have all the forms the company publishes in Quik! now and into the future.

  2. Auto-subscribe to most, but not all forms - if you need most forms in a library, auto-subscribe (do this step first) to cause all forms to be subscribed and then remove specific forms from your account (do this step last). This method will allow you to continue getting new forms added to a library but exclude the forms you specifically want excluded.

  3. Subscribe to specific forms only - if you only need specific forms, and not all forms, you can choose to subscribe to Individual Forms only without auto-subscribing to the company - you will not automatically receive any future forms for that company.

  4. Remove specific forms - Use the Individual Form option to remove/unsubscribe forms from your account.

  5. Unsubscribe and remove all forms - if you no longer want to see forms for a company, then you’ll need to turn off Auto-Subscribe for the company and then go to Individual Forms to ensure you have no outstanding subscriptions to forms and remove any that are appearing there.

 

! CAUTION WHEN MANAGING MULTIPLE ACCOUNTS !

There is a known issue in our system that only occurs if you manage multiple Quik! accounts (i.e. you have parent-child accounts or you’re a partner managing many customer accounts).

If you log into a customer account and change any form subscriptions, and then open a new tab or browser window and log into another customer account WITHOUT LOGGING OUT of the existing session, then whatever form selections you made in the prior account MAY be applied to the new logged in account by mistake (e.g. subscribed or unsubscribed forms in the new logged in account).

The reason for this result is that the browser holds the list of form operations in session memory and if you don’t log out by clicking LOG OUT then it’s possible for your new session to access this specific data. It is a known issue that is part of an older system architecture that is awaiting an upgrade.

 

Log In To Quik! Enterprise Manager

Login to your enterprise manager account: https://qcc.quikforms.com/

Now you’re in our Quik! Customer Central (QCC). Under Use Your Quik! Products click on Quik! Forms Enterprise

 

This will take you to the Enterprise Manager. Click on Choose Forms

Form Subscription Options

Auto-Subscribe By Company

To subscribe to all the forms for a given company, choose the Auto Subscribe method. 

Click on Auto Subscribe by Company.

 

On this screen, you will see a list of Current Auto-Subscribed Companies. These are the libraries that are currently subscribed and available to your account. Add More Auto-Subscriptions are the libraries not subscribed but available to add to your account under the section.

Note: To see all the records, click on Records Per Page and select 1000 from both sections' dropdown. Use Ctrl+F to search for a library by its name easily.

 

Under Add More Auto-Subscriptions select the checkbox next to the library name you would like subscribed to the customer's account and then click Save.

 

Finally, you will see the newly subscribed library in the list of Current Auto-Subscribed Companies.

 

Individual Form Method

To subscribe to specific forms or to remove subscriptions for selected forms in a company, choose the Individual Form method. 

Next, search for forms you want to add or exclude, using the search criteria. Typically, you’ll search by company but you can search by any number of criteria.

Next, choose forms to subscribe to.

Or, choose forms to unsubscribe (if you’re auto-subscribed to a company and want to remove individual forms.

Click the SAVE button at the bottom of the page and now your account is updated.
